One More Little Secret The Hospitality Industry Rarely Talks About...
Hotels absolutely want your business, but they'd often rather work through an experienced sourcing partner.
It's not personal. It's simply more efficient.
Think about your own business. Working with a trusted, repeat client is usually easier than working with someone who's navigating the process for the first time. You develop rapport, speak the same language, and understand each other's expectations. The process becomes smoother, faster, and more productive for everyone involved. The same is true for hotels and conference venues.
When a venue receives an RFP from an experienced meeting professional, they know the requirements will be clearly defined, the questions will be relevant, the decision process will be organized, and the contract negotiations will be productive. They can focus on finding solutions instead of explaining the basics.
That relationship benefits everyone. Venues appreciate working with professionals they trust, and our clients benefit from stronger negotiations, better communication, and a smoother planning experience from the very beginning.
Considering In-House Sourcing?
Many organizations choose to manage venue sourcing internally, and for some, that's the right decision. Before assigning the task to a member of your team, consider whether they have the experience, time, and industry knowledge to effectively evaluate options, negotiate contracts, and identify potential risks. Venue sourcing is something most organizations do occasionally, while it's something we do every day.
Our Process: The Seven Sourcing Steps
Finding a venue is easy. Finding the right venue, and securing it on the right terms, takes a more thoughtful approach. Our seven-step sourcing process brings strategy, experience, and structure to every search, from the first conversation through a signed agreement.
-
Every successful venue search starts with understanding more than dates, room counts, and square footage. We dig into your objectives, audience, budget, program needs, destination preferences, and priorities to understand what the right venue needs to accomplish.
Outcome: A clear sourcing strategy and set of requirements to guide the search.
-
We translate your requirements into a comprehensive RFP that tells venues exactly what your program needs. Beyond guestrooms and meeting space, we identify the operational details, concessions, and questions that can influence both the experience and the final cost.
Outcome: A detailed RFP designed to generate meaningful, comparable proposals.
-
Using industry resources, relationships, destination knowledge, and research, we identify properties that align with your requirements and distribute the RFP to qualified venues. We manage questions and follow-up along the way so you don't have to chase responses.
Outcome: A focused group of viable venues worth serious consideration.
-
A proposal can look attractive until you examine everything around it. We evaluate rates, meeting space, food and beverage commitments, fees, concessions, accessibility, logistics, contractual considerations, and overall program fit to create a true side-by-side comparison.
Outcome: A clear comparison that reveals the real value, and tradeoffs, of each option.
-
When a site visit is warranted, we coordinate the experience and can join you onsite. We evaluate guest rooms, meeting spaces, flow, service, transportation, food and beverage, accessibility, and the operational details that don't always show up in a proposal or virtual tour.
Outcome: Confidence that the venue works as well in person as it does on paper.
-
Once a preferred property emerges, we use the competing proposals, market conditions, industry knowledge, and our experience to negotiate rates, concessions, fees, attrition, cancellation terms, and other commitments that matter to your program.
Outcome: Stronger financial and contractual terms built around your needs, not simply the venue's standard offer.
-
The finish line isn't choosing the venue; it's reaching an agreement you're comfortable signing. We work through the final business terms, review the agreement for consistency with what was negotiated, flag areas that warrant attention, and help move the process toward execution.
Outcome: A venue secured with clearly understood terms and a strong foundation for the planning ahead.

FAQs
-
Our standard venue sourcing service begins with a $500 flat fee, which covers the research, outreach, RFP process, proposal review, and initial comparison of venues that meet your requirements.
If you select a venue and engage M3 to manage the negotiation and contracting process, we credit the $500 sourcing fee back to you.
Why structure it this way? Thoughtful venue sourcing requires real time and expertise, and we believe our recommendations should be driven by what is best for your event; not simply by which venue may pay a commission. The initial fee allows us to approach your search as your advocate from the very beginning.
-
Absolutely, but finding available venues is the easy part. The real value of professional venue sourcing is knowing what to ask, what to compare, and what to negotiate before you ever select a property.
A well-built RFP goes beyond dates, room rates, and meeting space. It anticipates the details that can materially affect your budget and your event: from Wi-Fi and AV costs to parking, upgrades, complimentary rooms, food and beverage minimums, attrition terms, staff rates, and other concessions.
Just as important, an experienced sourcing partner knows which questions to ask based on your specific program and where there may be opportunities to negotiate. What you ask for at the beginning can have a significant impact on what you pay, and what you're protected from, at the end.
-
Absolutely. When a site visit makes sense, we can coordinate the itinerary with the properties and join you onsite to evaluate the venues firsthand.
And we’re looking at more than whether the hotel is beautiful. We assess meeting space and flow, guest rooms, food and beverage, transportation, accessibility, service, operational logistics, and the details that may not be obvious in a proposal or virtual tour. A site visit is often where a good option either becomes the clear choice: or reveals that it isn’t the right fit after all.
